A VAT certificate (officially the VAT registration certificate) is the document HMRC issues when your business registers for VAT. It's your proof that you're VAT registered and entitled to charge VAT.

- Your VAT registration number (a 9-digit number, usually shown with a "GB" prefix)
- Your business name and any trading name
- Your registered business address
- The effective date of registration (the date you became VAT registered)

How do I view my VAT certificate online?

HMRC issues VAT certificates digitally, and your certificate lives inside your business tax account. Here's the process.
Step 1: Sign in to your HMRC online account
Go to the HMRC sign-in page at tax.service.gov.uk and log in with your Government Gateway user ID and password.
If you've forgotten either, use the "problems signing in" links on that page to recover them. You'll usually be asked for an access code as part of HMRC's standard two-step security, sent to your phone or authenticator app, so have your device to hand.
Step 2: Open your VAT account
From your business tax account home page, find the VAT section and select the link to manage or view your VAT account. This opens your VAT account, where you can see returns, payments, and registration details.
Step 3: View your certificate
Within your VAT account, look for the option to view your VAT certificate, usually grouped under registration or account details. Select it, and your certificate loads on screen showing your registration details exactly as HMRC holds them.
It's worth a quick check while you're there. Confirm your business name, address, VAT number, and effective date all read correctly. If anything's wrong, you can update most details through the same VAT account, or contact HMRC to correct them. Incorrect details can hold up bank or marketplace verification later.
How do I download my VAT certificate as a PDF?
Once the certificate is on screen, the most reliable way to save it is to print to PDF.
On Windows, press Ctrl + P, then choose "Save as PDF" or "Microsoft Print to PDF" as the printer, pick where to save it, and click save.
On a Mac, press Cmd + P, click the PDF dropdown at the bottom of the print dialog, choose "Save as PDF", then save.
Give the file a clear name, for example VAT-certificate-GB123456789.pdf, so you can find it again. A tidy tip from practice: save one copy in your cloud storage and email another to yourself, so it's never more than a search away when a bank or platform asks at short notice.

What if my VAT certificate isn't showing?
If you're logged in but can't see the certificate, work through these checks.
- Check you're in the right account. If you manage more than one business, make sure you've selected the correct VAT registration.
- Check the registration is active. If the business has deregistered, the certificate won't be available online.
- Look under different menu labels. It may sit under "account details", "registration details", or a "more VAT details" style heading depending on the layout you see.
- Refresh or switch browser. Clear your cache and cookies, or try a different up-to-date browser. Disable ad blockers or privacy extensions temporarily, as these can interfere with HMRC pages.
- Newly registered? If your registration was approved only in the last day or two, give it a little time to appear, then check again.
If you've recently registered and it still hasn't appeared after several working days, or you keep hitting errors, contact HMRC. How do I set up online access if I've never logged in?
If you've never used your HMRC online account, you'll need to create a Government Gateway sign-in and add VAT to it.
- Go to tax.service.gov.uk and choose to create sign-in details. You'll set a user ID and password and verify your email.
- Once signed in, add VAT to your account. You'll need your VAT registration number and the postcode HMRC holds for your business.
- HMRC may ask security questions to confirm it's really you, such as details from a recent VAT return or your registration date.
- Set up two-step security using a phone number or authenticator app.

You stay in control: you can withdraw that authorisation at any time, and HMRC keeps a record of agent activity.
